The Senior Project Manager is the essential connective tissue of our agency—the single point of truth that ensures we deliver value to our clients.
Role Essence: Senior Operational Partner
We are seeking a high-level operational partner to serve as a force multiplier for our Production leadership. This role is designed for a proactive manager who brings their own voice and strategic perspective to the table. You will act as the lead project manager for a dedicated set of accounts and will have the autonomy to navigate client, schedule, and project ambiguity, and will be expected to be resourceful in recommending solutions as needed.
The core identity of this role is defined by:
- Architectural Ownership: You own the high-fidelity setup of our management platforms, ensuring the team has clear direction and balanced capacity.
- Analytical Synthesis: You “connect the dots” between disparate client requests to understand how they impact the broader project strategy and client relationship.
- Providing Value: You take ownership of the outcomes, in addition to the budget and staff capacity.
Core Operational Responsibilities
- Productive Mastery: Architect projects in Productive with meticulous detail. You ensure that every task has a clear “Definition of Done,” preventing a “wild west” environment for developers and strategists. *Prior experience in Productive is not required, but the ability to show mastery quickly is.
- Capacity & Delivery Management: Monitor team capacity to ensure commitments align with our 32-hour workweek reality. You are responsible for ensuring no work “falls through the cracks” during our 4-day cycles.
- Financial Rigor: Record and monitor budgets and deliverables with ruthless efficiency. You will draft all client invoices, ensuring time entries are accurate and pushing team members to update Productive and maintain accurate records.
- Build & Maintain Client Relationships:
- Review and respond to client requests within the parameters of our Terms of Service.
- Comfort with managing sometimes fast-paced adhoc support requests from retainer clients.
Client Partnership & Account Management
- Beyond the Transactional: You are the primary liaison for a portfolio of clients. Your goal is to build deep, long-term relationships to become a trusted advisor.
- Strategic Communication: You possess the “soft skills” required to deliver difficult news, negotiate timelines, and proactively identify opportunities for client growth or retainer renewals.
- Proactive Solutioning: You draft project timelines and client communications independently, ensuring the SVP of Creative Operations and the Strategist on your accounts only need to provide final high-level refinement.
Mandatory Qualifications
- Digital Agency Experience: You must have at least 5 years of experience in a fast-paced digital agency environment. We want to teach you our specific processes, but we do not want to teach you the fundamentals of agency work.
- Platform Proficiency: Advanced experience with project management software (e.g. Productive, Jira, etc.) and basic familiarity or an openness to learn HubSpot and QuickBooks.
- Technical Literacy: Comfort managing projects involving complex eCRM platforms (e.g. Engaging Networks, Luminate, EveryAction, Salesforce, etc.) and CMS platforms (e.g. WordPress, Drupal, etc.).
- AI Fluency & Augmentation: Demonstrated ability to leverage AI tools as a force multiplier for efficiency, documentation, and communication. You should possess the professional maturity to ensure AI augments, rather than replaces, critical human judgment and strategic decision-making.
- Mission Alignment: A genuine passion for progressive causes and the nonprofit sector.
Compensation & Benefits
4Site’s compensation strategy is designed to attract high-tier talent who value a superior quality of life without sacrificing professional impact.
- Salary (32-Hours/Week): $76,000 – $92,000
- Remote-First Culture: Collaborative virtual environment with a flexible location.(but you’ll need to overlap a majority of your time with typical East Coast (ET) business hours)
- Vacation & Holidays: 198 Hours of paid time off per year (approximately 25 days);
- Equipment Allowance: $2,500 home office/equipment allowance;
